Our Transparency Commitment

We operate under four foundational principles that guide every article, edit, algorithmic suggestion, and institutional partnership. These principles are non-negotiable and subject to annual independent audit.

Editorial Independence

Content decisions are made solely by verified subject-matter experts and independent editors. No external entity, sponsor, or stakeholder may dictate, alter, or suppress published material.

Full Disclosure

Every contributor, reviewer, and AI training curator must publicly declare relevant affiliations, funding sources, and potential biases. Disclosures are permanently attached to their contribution history.

Data & AI Accountability

AI assists in structuring, cross-referencing, and flagging inconsistencies. All AI-generated suggestions undergo mandatory human verification. Training datasets and model weights are publicly documented.

Open Governance

Policy changes, moderation actions, and COI resolutions are logged in a public ledger. The community may request explanations for editorial decisions through our appeals process.

Conflict of Interest (COI) Policy

A conflict of interest exists when a contributor’s personal, financial, professional, or ideological relationships could reasonably be perceived as influencing the objectivity, accuracy, or neutrality of an article or review.

1. What Constitutes a COI

2. Disclosure Requirements

All users must complete a standardized COI declaration before editing or reviewing sensitive, technical, or high-impact articles. Declarations are stored encrypted and linked to contribution histories. Failure to disclose a material conflict results in immediate content rollback and account review.

📌 Mandatory Disclosures Include:

  • Grants, stipends, or paid partnerships related to the article’s subject
  • Publishing credits or editorial roles on the same topic within the past 3 years
  • Consulting work, equity ownership, or advisory positions in related entities
  • Active campaign or advocacy involvement regarding the subject

3. Conflict Management & Resolution

Scenario Required Action
Minor/Indirect COI Public disclosure tag on edits; content undergoes expedited independent peer review
Direct COI Automatic recusal from editing/reviewing; contribution limited to factual sourcing with no interpretive language
Undisclosed COI Content flagged for verification; account suspended pending review; repeated violations result in permanent ban
AI Model Training Data Curators must declare affiliations; datasets undergo bias-audit; flagged sources are downweighted or excluded

Funding & Operational Transparency

Aevum Encyclopedia is funded through a diversified, non-coercive model designed to eliminate editorial pressure. We do not accept sponsored content, advertising, or pay-to-publish arrangements.

AI & Data Transparency

Our AI systems are assistive, not autonomous. They never author, publish, or rank content without human oversight. The following safeguards are enforced:

  1. Human-in-the-Loop Verification: Every AI suggestion must be reviewed, accepted, modified, or rejected by a verified editor before appearing in articles.
  2. Source Attribution: AI-generated summaries or cross-references must cite primary sources. Unverifiable claims are automatically flagged for removal.
  3. Training Data Registry: A public list of all datasets, books, journals, and archived web sources used to train our language models. Updates are logged quarterly.
  4. Bias & Drift Monitoring: Automated fairness audits run weekly. If model outputs show statistical bias across demographic or ideological lines, training is paused until re-weighting is complete.
  5. Privacy-First Design: User edits, searches, and profiles are never used to train models. All personal data is anonymized or deleted per retention policies.

Report a Conflict or Transparency Concern

If you believe an article, contributor, or AI output violates our COI policy, contains undisclosed bias, or misrepresents verified sources, please report it. All submissions are reviewed within 72 hours by our independent oversight board.
