📋 Scope & Applicable Notices
This procedure governs the submission, triage, review, and resolution of the following notice categories:
- Intellectual Property Claims: Patent, trademark, copyright, or trade secret infringement notices.
- Contractual & Vendor Disputes: Breach of service agreements, payment discrepancies, or SLA violations.
- Regulatory & Compliance Filings: Mandatory disclosures, audit notices, or jurisdictional reporting requirements.
- Third-Party Legal Notices: Cease & desist, subpoena compliance, litigation holds, or settlement proposals.
- Integrity & Whistleblower Reports: Protected disclosures regarding fraud, safety violations, or ethical misconduct.
⚡ Jurisdictional Note
All claims are routed to the appropriate regional legal entity based on contract terms, subsidiary registration, and applicable governing law. Cross-border matters are escalated to the Global Legal Operations Directorate.
🔄 Standard Operating Procedure
Identify & Classify
Determine the notice category, affected division(s), and governing jurisdiction. Use the Aevum Zenth Notice Taxonomy for accurate routing.
Prepare Documentation
Compile required forms, evidentiary attachments, power of attorney (if applicable), and contact credentials per Section 3.
Submit via Secure Channel
Upload through the encrypted Compliance Portal or deliver via registered legal courier to the designated intake address.
Acknowledgment & Triage
Receive automated acknowledgment within 48 hours. Legal operations will assign a case ID and preliminary risk classification.
Review & Investigation
Subject-matter experts, division compliance officers, and external counsel (if required) conduct factual and legal analysis.
Resolution & Communication
Final determination is issued in writing. Remediation steps, settlements, or dismissal notices are executed per policy.

All processing times are business days and exclude weekends, public holidays, and time zones outside the primary jurisdiction.

Submissions missing critical documentation will be returned with a DOC_DEFICIENT status. Ensure the following are provided:
- Completed AZC-NF-2024 Notice & Claim Intake Form
- Proof of standing or authorized representation
- Chronological statement of facts with referenced evidence
- Corresponding contract, license, or regulatory citation
- Requested remedy or resolution parameters
- Secure contact information for case correspondence

All submissions are encrypted at rest and in transit. Aevum Zenth complies with GDPR, CCPA, and global data sovereignty requirements. Do not include unredacted personal data without explicit authorization.
🛡️ Escalation & Dispute Resolution
If a claimant disagrees with a preliminary determination, the following escalation pathway applies:
- Level 1: Request for reconsideration by the submitting division's compliance officer (7-day window)
- Level 2: Independent review by the Aevum Zenth Legal Arbitration Board
- Level 3: Binding external arbitration under ICC or LCIA rules, as specified in the governing contract
- Level 4: Regulatory or judicial escalation where legally mandated
All escalation requests must reference the original Case ID and submit within 10 business days of the initial determination.
