8.1 Overview

IronForge Fitness values your autonomy and respects your decision to modify or discontinue your membership. This section outlines the official procedures, timelines, financial obligations, and exceptions related to membership termination. All cancellations are subject to the terms agreed upon in your initial membership contract.

Important: Termination requests must comply with your specific plan's notice requirements. Automatic renewals will continue until proper notice is submitted and processed.

8.2 Termination Methods

Members may initiate termination through one of the following verified channels:

  • Online Portal: Log in to your account at members.ironforge.fit, navigate to Account Settings > Membership > Cancel Membership, and follow the prompts.
  • In-Person: Visit the front desk at any IronForge location with a valid photo ID. A staff member will process your request and provide a cancellation receipt.
  • Certified Mail: Send a signed termination letter to: IronForge Fitness Membership Services, 123 Forge Avenue, New York, NY 10001. Requests are processed upon receipt and verification.
  • Member Services Hotline: Call (555) 123-4567 (Mon–Fri, 8AM–8PM EST). For security, callers must verify account details and provide a written confirmation within 72 hours.

8.3 Notice Period & Processing Time

To ensure a smooth transition and avoid unauthorized service continuation, notice periods vary by membership tier:

Starter Plan

30 days written notice. Effective end of billing cycle.

Pro Athlete Plan

15 days notice. Cancellation processes within 3 business days.

Elite Plan

7 days notice. Immediate suspension of billing upon request.

Processing times exclude holidays. Members will receive an email confirmation within 24 hours of submission. Access privileges remain active until the official termination date.

8.4 Cancellation Fees & Refund Policy

8.4.1 Early Termination Fees

Members on fixed-term contracts (12-month or 24-month) who terminate before the contract expiration date are subject to an Early Release Fee calculated as follows:

  • Months 1–6: Remaining balance of the contract term
  • Months 7–12: 50% of remaining monthly dues
  • Months 13+: Standard monthly notice applies (no penalty)

8.4.2 Refunds

IronForge operates on a prepaid billing cycle. Unused portions of the current billing period are non-refundable. Refunds are only issued in cases of duplicate charges, unauthorized billing, or approved special circumstances (Section 8.5).

8.5 Special Circumstances

IronForge recognizes that life events may necessitate immediate termination. We offer contract release or deferral options for the following verified situations:

  1. Medical Disability: Documented by a licensed physician stating inability to participate in physical activity for ≥30 days.
  2. Permanent Relocation: Proof of new residence ≥25 miles from the nearest IronForge facility.
  3. Military Deployment: Active duty orders per the Servicemembers Civil Relief Act (SCRA).
  4. Duplication/Double Billing: Financial hardship or duplicate income loss (case-by-case review).

Requests must be submitted with supporting documentation to membership.reviews@ironforge.fit. Approval typically takes 5–7 business days.

8.6 Frequently Asked Questions

Can I cancel my membership over the phone?

Yes, but for security and compliance reasons, phone cancellations must be followed by a written confirmation (email or portal submission) within 72 hours. Otherwise, the request will be voided.

Will I be charged for the next billing cycle if I cancel today?

It depends on your plan's notice period. If you cancel before the billing cycle closes and your notice requirement is met, the next charge will be stopped. Otherwise, access continues through the paid period.

What happens to my personal training packages if I terminate?

Unscheduled PT sessions expire 30 days after termination. Sesssions scheduled within the next 14 days may be retained upon request. No refunds are issued for unused package credits.

Can I reactivate my membership later?

Yes. Terminated members may rejoin within 12 months at their previous tier and rate. After 12 months, new membership enrollment and current pricing apply.
